How do I split a shared building expense across the units?

ForProperty managers

Who can do this

Organization members with Create accounting permission. Editing needs accounting Edit; voiding needs accounting Approve.

Where to find it

Properties → the building → Actions → Record shared expense, or the Expenses tab's +

Steps

  1. Fill in Category, Description, Total, GST/HST included (optional), Date and Paid to (optional).
  2. Who pays? Unit owners (then choose Paid from), Owners pay a share (a percentage; your company pays the rest from operating), or My company.
  3. How should it be split? Evenly, By amount, By percentage or One unit, with the units ticked.
  4. Click Record expense.

What happens next

"Expense recorded". Each unit gets its own expense, charged to that unit's owner and shown on their statement. Leftover cents go to the first units listed. Open a row on the Expenses tab to see each unit's share, Edit it or Void it.

Limits

  • Kera doesn't charge the rest of a shared building expense to a tenant, add a management fee to it, or make it recurring. Record an expense on each unit instead.
  • One unit's share can't be edited or voided on its own; change the whole expense from the building's Expenses tab.
  • An expense can't be changed after an owner has paid their share or a share is matched to a bank transaction. Void that settlement or unmatch the bank row first.

Troubleshooting

  • "Unit X has no owner assigned": add an owner, or choose My company.
  • "The percentages add up to …": make them total 100%.
  • "This is one unit's share of a shared building expense…" when voiding in Accounting: click Open building expense and void it there.
