How do I give a tenant a rent credit (for example, for a repair)?
ForLandlordsProperty managers
Who can do this
Landlord; Organization users with Create Transactions.
Where to find it
Lease page → Rent tab → the month's ⋮ → Give rent credit (or lease Actions → Give rent credit, which picks the oldest eligible month)
Steps
- The Give a rent credit dialog reads "Lowers what the tenant owes for <month> without recording a payment, for example to make up for a repair. The lease rent stays the same."
- Enter Amount and Reason (the tenant and owner see the reason).
- On a property with an owner contract (organizations), answer Who covers this credit?: Owner ("The owner receives less rent. No money moves. The owner statement lists it with the reason.") or Us ("The owner gets the full rent. After saving, move the money from your operating account into trust."). For Us, pick Paid from and Paid into trust account.
- Select Give credit.
What happens next
Toast Rent credit given. The month shows the credit line and the lower amount owing. Any amount above the month goes to other open months, then is held for the next month. With Us, the toast tells you to move the money from operating to trust; Kera doesn't move it for you. The tenant's rent reminder mentions the credit.
Good to know
Solo landlords and properties without an owner contract don't get the who-covers question.
Limits
- Not available on months billed online, or on months from before Kera (write those off instead).
- To undo, use ⋮ → Reverse rent credit (Reverse credit). Toast Rent credit reversed.
Troubleshooting
"Enter an amount above zero." / "Add a reason. The tenant and the owner see it." / "Pick the account the money comes from." / "Pick the trust account the owner's rent goes to." / "Add an operating account in Accounting first."
