How do I set the owners and fee while adding a property?

Who can do this

Organization admins and members with Create Properties. Landlords don't see these steps.

Where to find it

Add property composer → "Who owns it?" and "How do you charge for managing it?"

Steps

  1. "Who owns it?": choose Sole owner, Joint owners or Partnership.
  2. Select Add an owner, choose the owner in the picker, and select Save owner. Choose Add new owner in the picker to create one on the spot. Repeat for joint owners or partners. For a partnership, enter each owner's Ownership share (%); the total under the list must reach 100%. Continue.
  3. "How do you charge for managing it?": pick the Management fee type (Percent of collected rent, Flat monthly or Hybrid · flat + percent), then the Percentage rate and/or Flat amount, Minimum monthly fee and Reserve minimum. Turn on Charge a fee while a unit is vacant to add a Vacancy fee amount. Continue.
  4. Finish the remaining steps and save.

What happens next

The preview's "Your fee" section shows an example of what you'd earn. After saving, the property's Owners tab lists the owners and Contract Details, the owner's page lists the property, and the property appears in Accounting → Distributions. With joint owners, the first owner is the contract payee.

Good to know

  • The fee step is pre-filled from your accounting settings ("Filled in from your accounting settings."), and your default fee type is marked "Your default".
  • If you change the owners after answering the fee step, the fee step is marked to check again before you can save.
  • Sole owner allows one owner; pick Joint owners or Partnership to add more.

Troubleshooting

  • "This owner is already on the list", "Enter this owner's share", "Shares must add up to 100%…", "Percentage rate can't be more than 100".
  • Saving with no owner asks "No owner selected": without an owner, no owner contract is created and the property won't appear in Accounting → Distributions. Continue without owner saves the property anyway; add the owner and contract later from the property page.
  • "Property added, but its owners weren't linked": the property exists. Open it and link the owners and set up the contract from there.
