How do I import my portfolio from another system?

ForLandlordsProperty managers

Who can do this

Landlord; Organization users with Create Entities via AI.

Where to find it

Settings → Migrate data → Start import (or Start your first import), or the Import your data page.

Steps

  1. Open the Imports list. With no imports you see "Import your whole portfolio in minutes" and Start your first import; otherwise click Start import.
  2. Under "How would you like to bring your data in?" choose Upload files ("Leases, rent rolls, statements, transactions. PDF, CSV, Excel.").
  3. Under What are you using today? optionally pick your current platform. Kera shows a checklist of what to download from it and a link to its export documentation.
  4. Drag in or browse to your files ("Drag, drop, or take a photo, or click to browse."). You can upload up to 20 files: PDF, CSV, XLS, XLSX, XLSM, or photos (JPG, PNG, WebP). On a phone you can photograph paper records.
  5. Click Start import. It shows "Uploading 1/N" while files upload.
  6. Kera moves to Organize. The status shows Queued, Extracting, Structuring or Matching, with live counts. "This can take a few minutes. It's safe to leave. We'll email you when your portfolio is ready to review."

What happens next

When it's ready (status Review ready) you get an email with a link back to the review. Continue with "How do I review an import and bring it into Kera?".

Troubleshooting

  • "Some files were ignored. Accepted formats: PDF, CSV, XLS, XLSX, XLSM, or photos.": a file type isn't supported; earlier accepted files are kept.
  • "File limit reached. Choose no more than 20 files." or "Only the first 20 files were kept.": split the import.
  • "Empty files were ignored. Choose a file with content.": the file is 0 bytes.
  • Draft creation failed: the analysis stopped; click Start over and try again, or contact Kera support with the file types used.
