How do I review an import and bring it into Kera?

ForLandlordsProperty managers

Who can do this

Same as above.

Where to find it

An import at the Review step ("Review your import").

Steps

  1. Read the summary ("We organized N records from your import. Check anything we flagged, then bring it into Kera.").
  2. Work through the four tabs:
    • Needs a look: records Kera held because of a warning, a missing link or a conflict. Each card says why in plain words. Use its main action (for example Add email, Pick a property or Fix), Import as is or Don't import. Group banners offer bulk fixes, for example Import all N as is, Import N as vacant or Resolve N later.
    • Ready to import: records that will come in. Filter by type, open a row to edit its fields in the side drawer and click Save, change what a record is linked to under Linked to, or use Bulk actions.
    • Not importing: records you chose not to import or to resolve later. Import after all brings one back.
    • Left out by Kera: rows Kera couldn't turn into records, grouped by reason (for example "Spreadsheet errors", "No property address", "Duplicates", "Totals and subtotals"). Nothing here is imported; add them by hand later or fix the file and import again.
  3. Optionally use Step through one by one to decide on held records in turn (Looks good, Resolve later, Save edits).
  4. When nothing needs a look, click Bring N records into Kera in the bar at the bottom.
  5. Read the dialog Bring N records into Kera? (records coming in, records imported as read, not importing, left out by Kera) and click Bring them in.

What happens next

Kera shows "Bringing your portfolio into Kera…", then the Done step with what was actually imported, any records that couldn't be imported or need a link, and "What would you like to do next?". The records appear in Properties, Leases, Owners and Accounting. Transactions, invoices and balances become part of your live books. You get an email: Your portfolio is live in Kera 🎉, Your import finished. A few items need attention or Your import finished.

Good to know

If owner contracts have no management fee, a banner lets you set a fee type and rate, optionally tick Save as my default fee settings, and Apply to N contracts. Leases whose end date has passed may come in as month-to-month where the province allows; see the Leases chapter.

Limits

Bring N records into Kera stays disabled while anything needs a look ("N need a look first"), while Kera is still organizing ("Still organizing your import…") or when nothing is ready ("Nothing to import yet"). Once an import is bringing records in or is complete, its review can't be changed ("Couldn't save review"). You can edit any imported record in Kera afterwards.

Troubleshooting

Couldn't bring your data in: retry; records already imported stay imported. Couldn't update every record: records already updated keep their new status; try again for the rest. This record can't be imported as is yet: pick its property first, or resolve it later.
