How do I create a bill?
ForLandlordsProperty managers
Who can do this
Landlord; Organization users with Create Transactions.
Where to find it
Accounting → Add transaction → Bill.
Steps
- Skip or use Start from a document to scan the vendor's bill.
- Who is the bill from?: Vendor Name (pick or create a vendor) and Bill / Ref #.
- What's on the bill?: one row per line with description, quantity and price, plus the GST/HST amount. Use Add line item for more lines.
- What is it for?: expense category and Property / Unit.
- When is it due?: Payment Terms (Net 15, Net 30, Net 45, Net 60 or Custom) and Bill Date. Due Date is calculated; choose Custom to edit it.
- Who pays for this?: Me, The owner or Split it (owner options need a property).
- Any notes? (optional, up to 2,000 characters).
- When you create this bill: Save as draft, Request owner approval (only when the owner pays some of it) or Approve and post now.
- Click the header button, which follows your choice: Save draft bill, Send for approval or Create and post bill.
What happens next
The bill appears on the Bills tab and the totals rise. A draft posts nothing. "Approve and post now" shows "Bill approved" and posts to Accounts Payable (2000).
Good to know
- When creating a vendor from Vendor Name, the Add vendor form opens over the bill and keeps your answers.
- With an attachment, the button adds "and upload" (for example Save draft and upload).
- Without Approve & Post Transactions and with Me, there's no last step; the button reads Create Bill and saves a draft.
- Organization with a bill approval threshold: a bill at or over it can't be posted at once; the button reads Save for approval and the toast "Bill saved for approval" (see "How does two-person bill approval work?").
Troubleshooting
"At least one line item is required", "Description is required", "Notes must be 2,000 characters or fewer".
