Who in my organization gets each notification?

ForProperty managers

Who can do this

Reference for organization admins and team members.

Where to find it

The bell, the Notifications page and email.

Steps

  1. Record on a property with a Manager or Verifier (the property's Managers card): only those people get it, by bell and email, as long as their role can see that kind of record.
  2. The Manager's role can't see that kind of record (for example, no View Maintenance Requests): the organization's admins get it instead, with a grey line naming the Manager and the missing permission. Give the role that permission, or pick another Manager, so the next one reaches them.
  3. Record on a property with no Manager or Verifier: every team member whose role can see that kind of record gets it, plus a separate copy of the email to the organization email from Settings → Organization. Members limited by View Assigned Properties Only get it only for their own properties.
  4. Not tied to a property (trust account alerts, bank reconnection, screening orders with no property, a conversation not linked to a lease): every team member whose role has the permission. Bill and distribution approvals go to members with Approve & Post Transactions who can see at least one of the properties involved; a digest or count lists only the items on their own properties.
  5. Signing requests and screening orders also go to the team member who sent or ordered them, as long as they're still in the organization and their role can see it.
  6. Conversations: the conversation's assignee gets new-message notifications. If the assignee's role doesn't have View Inbox, the organization's admins get them instead (once each), with the grey "Assigned to …" line. Without an assignee, every member with View Inbox gets them (only the property's Manager or Verifier when the conversation is linked to a lease on a property that has one). You're never notified about your own message.

What happens next

Each person gets their own copy, follows their own switches in Settings → Notifications, and reads or dismisses it without affecting anyone else. Every email is addressed to one person only; nobody is copied on a teammate's email. Nobody gets the same email twice, even when they qualify more than one way (for example as the sender and the Manager, or as a conversation participant and a member with View Inbox). If delivery fails, Kera retries automatically; nobody receives the same notification or email twice. A role or property change applies to notifications from then on; ones already sent stay. When someone is removed or archived, their notifications from the organization are cleared.

Good to know

The permission each kind needs: maintenance requests, View Maintenance Requests; leases, rent and payment setup, View Leases; applications, View Applications; inspections, View Inspections; notices, View Notices; signing, View Documents; tasks, View Tasks; conversations, View Inbox; invoices, trust and deposits, View Accounting; screening, View Screening Results; bill and distribution approvals, Approve & Post Transactions. People already in a conversation are told about new messages in it whatever their role. When a tenant gives notice to end, every member who can see the notice gets "Your tenant gave notice to end the tenancy", and the lease's email for notices gets its own copy too unless one of them already got it at that address. If nobody in the organization can receive a notification, the admins get it.

Limits

Kera doesn't let you pick extra people for a single notification. Add the person as Manager or Verifier on the property, or give their role the permission. A team member with no email address on their account gets notifications in the bell and on the Notifications page only. Removed or archived team members get none.

Troubleshooting

A team member isn't getting notifications for a property: check they're the property's Manager or Verifier (or the property has none), that their role has the permission above, that their switches are on, and, for an assigned-only role, that the property is theirs.
