What do archiving and deleting do?
ForLandlordsProperty managers
Who can do this
Archive: anyone with the edit permission for that record (Edit Properties for properties and units, Edit Owners, Edit Vendors). Delete: Landlords and organization roles with the delete permission (Delete Properties, Delete Owners, Delete Vendors). The default organization member role can delete vendors but not properties, units or owners.
Where to find it
The record's detail page → Actions card → Delete (or Archive when you can only archive).
Steps
- Open the record and choose Delete (or Archive) in the Actions card.
- Kera shows a dialog titled "Delete <name>?" (or "Archive <name>?"). While it shows "Checking what this affects", Kera looks for anything that would block the action.
- Read the dialog: "Archiving keeps the history and moves this out of your active list." and "Deleting can't be undone." It also says what else the action affects, for example "Archiving also affects 3 units."
- Choose Archive to keep the record and its history, or Delete to remove it.
What happens next
- Archive hides the record from your active lists. A toast "Archived <name>" offers Undo. The record's page shows "This <name> is archived. It stays out of your active lists until you restore it." with a Restore button, and editing is switched off until you restore it. Archived records appear when you set the list's filter to Archive: Archived.
- Delete removes the record from every list, including the Archived view. A toast "Deleted <name>" appears and Kera returns you to the list. Kera never erases data outright: deleted records are kept in the background but can't be brought back from the app.
- Deleting a property also deletes its units, its open work orders, tasks, documents, draft inspections and applications. Deleting a unit does the same for that unit's records. Archiving a property archives its units too.
Troubleshooting
If something blocks the action, the dialog shows "Can't archive or delete", "Can't delete" or "Can't archive" with the reason and, where it helps, a button to the record that needs attention. The reasons for each record type are listed in the archive and delete articles below.
