How do I void a transaction from the Overview?
ForLandlordsProperty managers
Who can do this
Landlord; Organization users with Approve & Post Transactions.
Where to find it
Accounting → Overview → the row → ⋮ Actions → Void.
Steps
- Find the posted or draft row (voided rows have no menu).
- Click ⋮ Actions → Void.
- Read the dialog. It names the amount and says "It no longer counts toward your books. This can't be undone."
- Type a Reason (required; Void stays disabled until you do).
- Click Void.
What happens next
The row leaves the default list (filter Status → Voided to see it) and the figures reverse. Voided entries are kept, never deleted.
Good to know
When the row is part of a larger record, the dialog names that record and voids all of it ("not just this entry"):
- Bank feed entry: adds "The bank transaction goes back to Review."
- Expense with a management fee or tenant share: the fee or the tenant's invoice is voided too.
- Transfer: Void this transfer? reverses both sides.
- Hand-recorded rent payment: Mark this rent payment unpaid? with Mark unpaid; the month is owing again (chapter 10).
- Owner payout or settlement: Void this owner payout? / Void this settlement? (chapter 10). Needs owner financials access.
- Invoice or bill payment: Void this invoice payment? / Void this bill payment?; the invoice or bill is open again.
- Collection with a management fee: Void this collection? voids the collection, its fee and the fee's move to operating.
- Security deposit rows: Void this deposit?, or Undo return / Undo apply for a deposit return or a last month's rent deposit applied to rent (chapter 05).
Limits
Some entries can't be voided from Overview. Kera shows a disabled Void, says why ("It belongs to …") and gives a button to the exact record:
- Open in Bank Feed: the entry came from a bank transaction or e-transfer; undo it there.
- Refund: it was paid online through Kera payments, so it's refunded, not voided.
- Open rent, Open deposit, Open invoice, Open bill, Open owner payouts: reverse it from that record.
- Open bank account: an opening balance; change or remove it on the bank account (see "How do I change or remove a bank account's opening balance?").
- A refund or dispute clawback from an owner can't be voided.
Troubleshooting
- "Couldn't void the transaction" with "Accounting period YYYY-MM is closed…": the entry is in a closed period. Reopen the period first (see "How do I close or reopen an accounting period?").
- "You need access to owner financials to void this.": the role lacks Owner Disbursements & Statements.
