How do I return a deposit, with or without deductions?

ForLandlordsProperty managers

Who can do this

Landlord, Organization admin, Organization members with Create Transactions.

Where to find it

Lease page → Actions → Deposit → Process return.

Steps

  1. Click Process return.
  2. For each deduction, click Add deduction, then enter a description, category (Damages, Cleaning, Unpaid rent, Other) and amount.
  3. Pick Return to account (the bank account the refund comes from).
  4. Check The tenant gave up possession on (prefilled from the deposit clock, or the lease end once it has passed). Change it to the day the keys came back.
  5. Click Return $<amount>. If deductions equal the whole deposit, the button reads Record forfeiture.

What happens next

Toast "Deposit return recorded". Status becomes Returned, Partially returned or Forfeited, with Amount Returned, Return Date and the deductions. Accounting records the release. Where the province requires a statement, the toast adds "Next, send the deposit statement by <date>." and the card shows Send deposit statement.

Good to know

  • Owner-held deposit: the form asks Who paid the tenant? ("Owner paid the tenant directly" records the return only; paying from your trust account for the owner charges the owner).
  • Solo landlord: kept deductions count as your income in reports.

Limits

Kera records the return; it doesn't send the refund money. Pay the tenant from your bank.
