How do I record a deposit the tenant paid outside Kera?
ForLandlordsProperty managers
Who can do this
Landlord, Organization admin, Organization members with Create Transactions (choosing the bank account also needs View Accounting).
Where to find it
Lease page → Actions → Deposit.
Steps
- Click Deposit. On a lease with no deposit, the full-page Record a deposit composer opens (subtitle "Expected $<amount> · <type> · <tenant>" when the lease has an amount).
- Which deposit did you collect?: pick the type and check Amount.
- How did the tenant pay? (optional): payment method (Cash, Cheque, E-Transfer, Wire Transfer, Other), date received and reference number.
- Where is the deposit held?: Bank account and the date deposited to trust (prefilled with today, "Within 2 banking days").
- Anything to note? (optional).
- Click Record deposit.
What happens next
Toast "Deposit recorded". Actions → Deposit now opens the deposit card: Held, with Amount Collected, Deposited to Trust, Received and "Deposited on time" when within two banking days. Accounting posts it to Security Deposits Held. The tenant's Payments tab shows "Deposit held".
Good to know
- An Active online-payments lease whose payer has set up payment first asks How is the deposit being paid?: the tenant already paid it, or Request it through Kera payments.
- Ontario: above one month's rent shows "Deposit amount exceeds one month's rent ($<rent>)". Quebec: "Deposits aren't permitted in this property's province."
- Kera checks for duplicates; if it looks like one already recorded, choose to go back or record it as a separate deposit.
Troubleshooting
- "Your role can't see bank accounts, so you can't choose where the deposit is held. Ask an admin for access to view accounting.": the role needs View Accounting.
- "Add a bank account in Accounting to record deposits.": add a bank account first (chapter 09).
