How do I code and post a bank transaction?
ForLandlordsProperty managers
Who can do this
Landlord; Organization users with Create Transactions (posting needs Approve & Post Transactions).
Where to find it
Accounting → ⋮ → Review Bank Feed (or Review on the Overview banner).
Steps
- Bank Feed Review ("Code and post incoming bank activity into your ledger.") lists bank transactions; deposits show "+$…", payments "-$…".
- On a card, pick the Property, Category and optional Vendor. A Suggested badge means Kera guessed; click Accept suggested to fill the fields.
- For a tenant deposit, turn on Security deposit (tenant funds) and pick the lease.
- For money moving between two of your accounts, turn on Transfer between accounts and pick the Transfer pair.
- Organizations: set Bill to owner (No, Yes or Partially with an Owner %); Edit split & fee opens the full owner-share and fee section.
- Check the "Posts as" line and click Save & post (or Save & create draft).
What happens next
The card shows its ledger entry and the figures update. A row billed to the owner posts as a charge on their statement.
Good to know
- Without Approve & Post Transactions: only Save & create draft; bulk posting reads Create draft for N ready.
- Partially isn't offered on a trust or reserve account ("a split expense is paid from operating").
- E-transfers that look like rent show under E-transfers to confirm (chapter 10).
Troubleshooting
"Missing owner's share", "Missing lease to charge", "Missing management fee (loading)"; "This property has no owner assigned. Assign an owner, or turn off "bill to owner" and record it as your own expense."
Limits
Bank rows carry no GST/HST, so a bank-coded expense has no input tax credit. Record taxable expenses with Add transaction and match the bank row to it instead.
