How do I send a notice of entry for an inspection?

ForLandlordsProperty managers

Who can do this

Landlord; Organization users with Prepare Notices (and Serve Notices to serve it).

Where to find it

Inspections → Draft inspection → Actions → Send entry notice

Steps

  1. Select Send entry notice. The Notice of entry composer opens with a Preview letter beside it.
  2. Why are you entering?: check the Reason for entry (filled in from the type) and, optionally, Who will enter (leave blank to name yourself). Select Continue.
  3. When will you enter?: pick the Entry date (days too soon are greyed out) and Entry time. Select Continue.
  4. Review the notice: check the Preview, then select Create notice. Select View notice to see the PDF.
  5. Alberta and New Brunswick only: Sign the notice → Sign notice, sign in the editor and save.
  6. How will you serve it?: choose Email it through Kera ("Sent now with the PDF"), I delivered it myself (choose how, then the date and time served) or Serve later ("Keep it ready on the lease").
  7. Select Send notice, Record service or Keep it ready, then Done and Back to inspection.

What happens next

  • By Kera email: toast "Notice sent by email". Each tenant gets "Notice of entry for <date>" with the PDF and an in-app notice; you get "Notice of entry served". Done shows when it was served and deemed received, and a View certificate of service link once the certificate is ready.
  • Delivered yourself: toast "Service recorded"; tenants get an in-app heads-up only.
  • Serve later: toast "Notice kept ready to serve", and a high-priority task "Serve the notice of entry for <date>". The header reads "Not served yet" with a Serve button.
  • The header line reads "Entry notice: <date> at <time> · Sent by Kera" (or how it was served). The notice and its certificate appear in the lease's Notices.

Good to know

The Preview lists "Earliest lawful entry if served now" for each way of serving. A tenant who hasn't agreed to online notices blocks Kera email ("Kera can't email it: <Name> doesn't accept online notices. Serve it another way.").

Troubleshooting

  • "Pick a later date: the notice needs more time to reach the tenants." or "Pick <time> or later on this date."
  • "Too late for <entry> by <method>: the earliest lawful entry is <date and time>." Serve faster, or select Reschedule.
  • "The time you served the notice can't be in the future." / "The notice can't have been served before it was created."
  • "Kera couldn't check the rules for this notice." Select Try again.
  • "This notice of entry is already served.": it was served from another tab.
  • Closing before Create notice asks "Discard this notice?". After creating, closing keeps it as Ready with a serve task.
