Do I have to deliver the inspection report to my tenants, and how?

ForLandlordsProperty managers

Who can do this

Landlord; Organization users with the Serve Notices permission.

Where to find it

Inspections → a move-in or move-out inspection with a lease → Actions → Deliver report

Steps

  1. Read the delivery line in the header. It shows the deadline ("Deliver to your tenants by <date> · <n> days left") and the consequence of missing it, or "Not required in <Province>. Recording delivery keeps proof."
  2. Select Deliver report. The composer Deliver the move-in report (or move-out) opens.
  3. At How will you serve it?, choose Email it through Kera (all tenants must have agreed to online notices), I delivered it myself (then choose how and enter the date) or Serve later.
  4. Select the step's button (Send notice, Record service or Keep it ready), then Done and Back to inspection.

What happens next

Toast "Sent by email" or "Delivery recorded". The header reads "Delivered by <how> on <date>", with "on time" or "late". Kera email sends each tenant "Your move-in inspection report" with the PDF. The delivery task completes, and the delivery shows in the lease's Notices. Afterwards, Actions → Delivery record reopens the record.

Good to know

Deadlines count from the inspection date you entered at submit:

  • British Columbia: move-in 7 days; move-out 15 days after the later of the inspection and the day you got the tenant's forwarding address in writing (until then it reads "Due 15 days after you get the tenant's forwarding address"). Missing it loses the right to claim against the deposit for damage.
  • Alberta: the day after the inspection, both move-in and move-out.
  • Northwest Territories: 5 days. Yukon: move-in 14 days, move-out 7. Prince Edward Island: 7 days.
  • Manitoba: only when a condition report was requested; 7 days after everyone signs. Kera's report isn't Manitoba's Form 5, so the task reminds you to complete Form 5 as well.
  • Nunavut: a signed move-in report is required when you receive the deposit, with no fixed day. Kera can't email it there (personal delivery or registered mail only).
  • Ontario, Quebec, Saskatchewan, Nova Scotia, New Brunswick, and Newfoundland and Labrador: not required; recording delivery keeps proof.
  • Before your tenants sign, you can sign first and deliver with your signature: "Your tenants haven't signed yet. You can deliver it now with your signature."

Limits

Kera doesn't add delivery deadlines to inspections submitted before this feature existed.

Troubleshooting

  • "Sign the report before delivering it. Your tenants get a copy with your signature.": sign first.
  • "This report is being edited. You can deliver it once the changes are submitted.": finish or discard the edit.
  • "The delivery date can't be in the future."
  • No Deliver report: the role lacks Serve Notices, the inspection isn't a move-in or move-out, has no lease, or was voided.
