How do I create an invoice?
ForLandlordsProperty managers
Who can do this
Landlord; Organization users with Create Transactions (sending needs Approve & Post Transactions).
Where to find it
Accounting → Add transaction → Invoice.
Steps
- Skip or use Start from a document.
- Who are you billing?: Customer Name, Customer Email (needed for the email and payment link) and Invoice # ("Auto-generated if blank"). Organizations also choose Invoice to: A customer or The property owner.
- Whose income is this?: Property (optional), whether you're collecting on the owner's behalf (organizations), and Revenue category.
- What are you charging for?: one row per line. Tax Amount fills itself from the property's province (for example 13% in Ontario, 5% GST in Alberta); edit it to override.
- When is it due?: Payment Terms, Issue Date and Due Date.
- How can they pay?: Accept online payments and Notes ("Additional notes or payment instructions").
- Click Save as Draft, or Send Invoice to email it now.
What happens next
Send Invoice shows "Invoice sent" / "We emailed it to the customer." The customer gets a Kera invoice email (with your notes) and, with online payments on, a pay link. Drafts save quietly with a Draft badge.
Good to know
- Organizations not registered for GST/HST add no tax automatically.
- With an attachment, the button reads Send and upload.
- The Invoice preview shows what the customer will receive.
Troubleshooting
"Invoice created, but not emailed": the customer has no email. Add one, then send from the invoice.
Limits
The Invoice form bills a customer or the property owner. To charge a tenant, use the lease's rent schedule and charges (chapter 10); Kera only invoices tenants itself for their share of a split cost.
