How do I record what a repair cost when I close the request?

ForLandlordsProperty managers

Who can do this

Landlord; Organization users with Edit Maintenance Requests. The cost lands in Accounting, which is GATED (see the Accounting chapter).

Where to find it

Close maintenance request dialog → Add bill or expense

Steps

  1. In the close dialog, select Add bill or expense. A Record a cost section opens.
  2. Choose Bill (a vendor bill to pay later) or Expense (money already paid).
  3. For Bill, the bill form opens with the vendor, property, unit and description filled in from the request. Enter the amount and save.
  4. For Expense, the transaction form opens with the category Maintenance & repairs and the property, unit and description filled in. Enter the amount and payment method and save.
  5. To go back to closing without a cost, select Remove.

What happens next

The request closes, and the bill or expense is linked to it. The Resolution says the cost was recorded. The bill appears in Accounting payables; the expense is posted to the ledger.

Good to know

For an Organization, the bill form includes the owner-billing options (who pays, and any management fee). See the Accounting chapter.

Troubleshooting

  • "This bill looks like one you already recorded": Kera found a bill with the same vendor, date and total. Go back to fix it, or confirm it's a separate bill.
  • "Cost saved, but the request isn't closed" with "Retry closing this request. Don't create another bill or expense.": the money record saved but closing failed. Use the retry in the dialog. Don't record the cost again. If it still fails, contact Kera support (support@getkera.com) with the request and the bill or expense.
